Each year, the Faculty of Medicine is required to submit a formal inventory report to the Ministry of Health listing all academic spaces allocated to the Faculty of Medicine at clinical sites across the province.

In addition, UBC Infrastructure Development requires a yearly review/update of space allocated to the Faculty of Medicine at the UBC Vancouver campus for their annual submission to the Ministry of Advanced Education.

In order to ensure the Faculty of Medicine academic space inventory remains accurate for reporting purposes, we require assistance from each Unit to review and update their space allocations on an ongoing basis.  Please refer to Section 2.2 Effective Management and Allocation of Space in the Faculty of Medicine academic space policies:

Procedures:

The Faculty of Medicine Planners will contact Unit Administrative Leaders across the province and send the Unit their academic space inventory spreadsheet for Administrative Leaders to complete and return to the Planner.

Instructions:

• Please review the spreadsheet and make updates. Please ensure that all changes are highlighted on the academic space inventory spreadsheet.
• Please make note of any changes that may have occurred due to renovations, faculty/staff changes and relocations.
• All assignable offices and research space should not be listed as “Several-Multi User” unless they are truly bookable by anyone from the Unit.
• Please flag any rooms no longer being used for academic purposes.
• Please list any academic spaces actively being used by the Unit that are not currently on the inventory report. Please provide the room number, room type, as well as the occupant name for any new rooms that need to be added to the database.
