Post-Retirement Appointment – New Profile
See emailed version of this newsletter sent July 7, 2023 (subject line Post-Retirement Appointment – Conversion to New Job Profile/Code, original email sent July 19, 2023) for announcement regarding the new job profile for Post-Retirement Appointment (PRA). In summary:
The new job code (NBEM91) specific to post-retirement appointments (PRAs) for emeritus faculty is live in Workday. The job profile for this code is “Post Retirement Appointment – Faculty”, and it is to be used only for emeriti who require an active appointment when the individual is continuing to perform duties, paid or unpaid, at UBC. This includes retired faculty members who require an appointment, for example, to hold research grants or supervision of students and trainees. The new PRA job code is separate from existing emeriti job codes that will continue to be used to record emeritus status granted by Senate.
Going forward, anyone with a PRA will have at least two appointments in Workday:
- one to record emeritus status (Unpaid-Ongoing), always remaining linked to the department from which the individual retired;
- a second appointment to record the active PRA (Term-Fixed Term) in the department in which they are active, and which cannot be used as the sole appointment;
- possibly a third if they are on UBC Post-Retirement and Survivor Benefits.
Note: The PRA job code is configured so that IT Services can provide the access to UBC systems necessary for active appointees. Please use the PRA’s position number for Workday security role request.
Emeritus status must first be reflected in WorkDay before providing a PRA – the process to record emeritus status remains unchanged.
Please make sure that all active Post-Retirement Appointments are converted to the new PRA Job Profile/Code using a new position by Monday, July 24, 2023. If you have any questions, please reach out to Svetlana Perry or Andie Sha.

Updates & Reminders
2022 and 2023 Research Associate Increases
In anticipation of processing both the 2022 and 2023 Research Associates increases on the July 15th paycheque, Faculty Relations asks that administrators not start any BPs for Research Associates until the increase has successfully loaded next week. Additional details included in emailed version of this newsletter sent July 7, 2023 (subject line FW: Research Associate increases, original email sent July 5, 2023).

In summary, the anticipated timeline is as follows:

Emeritus Status
Emeritus applications from the spring 2023 cycle have been approved. Please monitor Workday as it will be reflected over the next while. For any questions, please contact Fern Moran.
Guide to Academic Activities (Bargaining Unit faculty members)
This Guide has been updated to describe academic activities available in the Faculty of Medicine that support Bargaining Unit faculty member engagement and fulfillment of contribution expectations. Key elements include definitions of the different types of academic activities and examples observed within the Faculty of Medicine so that Bargaining Unit faculty members can see themselves in this document.
We encourage Departments and Schools to use this document as an onboarding tool for new faculty members, to facilitate discussions during annual meetings, and with your DARPT committees to encourage shared understanding. Please note that the FoM Offer letter templates for the Tenure Stream, Part-time / Without Review have been updated such that Academic Activities information has been moved to the Orientation section.
2023 Annual Honorary Reappointment Update
Honorary Batch reappointments for July 1, 2023 have been loaded in Workday. The end date of the position will reflect what was in Column A on the spreadsheets submitted to our office. Please manually reappoint or terminate those positions that had no value or a “U” entered in Column A. A list of updates that were rejected during the upload have been distributed via OneDrive. These also must be manually corrected.
Where applicable, Academic Appointments have also been extended. Errors frequently occurred where an academic appointment was missing or where academic and staff appointments data did not match – these are included in the list of rejected records. Please remember to add and update Academic Appointments as required to prevent system errors. To find missing academic appointments, run report (Faculty Positions Missing Academic Appointment – Distributed).
Faculty who may have been missed can be identified by running “Upcoming Appointment End Dates” and/or “Employees Who Have Passed the Term End Date – Distributed”. If you need further assistance, please contact FoM Faculty HR.
Bill 13 – BC’s Pay transparency legislation
BC’s Bill 13, the Pay Transparency Act, has passed into law now. The legislation is intended to be a step towards closing the pay gap across the gender continuum and there are new requirements for BC employers, including UBC.
