About the Project
Since 2018, the Faculty of Medicine has been occupying office space at the City Square Shopping Centre that is leased by Vancouver Coastal Health (VCH). Later this year, the lease for this space will be coming to an end. As a result, the four Faculty of Medicine units currently working out of the City Square location will be transitioning to new work locations in summer 2026. The units directly affected by this change include Postgraduate Medical Education (PGME), Continuing Professional Development (CPD), Faculty Development, and Finance (Academic and Education & Administration).
What’s Changing
At the end of October 2026, the lease on the City Square office space will formally conclude and affected units will transition to new work locations. Planning will take place between January-May, 2026 with units transitioning to confirmed work locations in summer 2026.
It is anticipated that staff of the affected units will transition to work locations at the Vancouver General Hospital (VGH) campus and/or the UBC Vancouver (UBCV) campus. The goal is to identify work locations for each team that support connection and collaboration while providing the appropriate mix of spaces needed for them to do their best work. Depending on operational requirements, units may transition to a single work location or adopt a more flexible arrangement that provides access to multiple work location options. Where possible, integrating units within available and approved work locations is being prioritized. This approach aligns with the Faculty’s goal of using physical spaces flexibly and sustainably, in ways that reflect evolving ways of working.
Supporting the Change
A planning process for the transition of work locations is now underway and is being jointly led by the Office of the Vice Dean, Education, Faculty of Medicine Finance, and the Faculty of Medicine Space Planning & Facilities Management team.
A key priority throughout the project is to ensure the transition is as smooth as possible for all units. The project team will engage with unit Directors and staff throughout the planning process, with multiple opportunities provided to share input and feedback. Affected units will be supported through the transition with regular communications, meetings, guidelines, training, orientation, new technology and tools (as required), as well as other resources as needed.
Project Schedule

The project will take place over three phases.
Phase 1: Planning and Engagement (January-May): This phase focuses on planning and will involve engaging individual units to understand their workspace needs. This includes space requirements, storage needs, meeting and videoconferencing needs, critical adjacencies needed to support their work (such as proximity to clinical sites), and other operational considerations. Information gathered through this needs assessment will help the project team identify suitable workspace location options for each team. Additional requirements gathering will happen after a location is confirmed.
Phase 2: Moves and Decant (May-September): This phase will focus on planning the logistics and detailed schedule for the transition of work locations.
Phase 3: Evaluation and Wrap up (September-October): Supporting the Faculty’s commitment to continuous improvement, this final evaluation phase will assess the overall planning process and the transition of work locations. The goal is to understand what went well, what challenges were encountered, and what could be improved or approached differently in future projects. This phase will include seeking feedback from staff across each unit.

1. Why are units being relocated from the City Square office?

2. What is the timeframe for the move to confirmed work locations?

3. Who is leading the project?

4. What planning has happened so far?
We have gathered high-level requirements from each Director and will be confirming individual-level details. The next step is to identify potential suitable work locations.
5. Where will each unit be moving to?
No decisions have yet been made regarding where units will be transitioned. It is anticipated that units will be integrated into available and approved work locations at the VGH and UBC-Vancouver campuses as it aligns with the Faculty’s goal to using physical spaces flexibly and sustainably, maximizing capacity while reflecting evolving ways of working. Some units may transition to a single work location, while others may require more flexible access to multiple work locations. Final decisions will be informed by the specific needs of individual units as well as overall space availability.
6. How will decisions be made as to where units move?
Phase 1 of the planning process focuses on working with each unit to identify suitable space options based on their operational needs and requirements. Factors such as critical adjacencies to a clinical campus, other Faculty of Medicine units, storage needs, and other operational considerations will help inform decisions around potential work locations for each unit.
7. When will units know where they will be moving work locations?
It is expected that units will know which work location(s) they will be transitioning to later this spring.
8. When will units physically be moving offices?
The transition of work location(s) is expected to take place over July and August 2026. A more detailed timeline will be shared with each unit as the project progresses.
9. What happens if no appropriate office spaces can be identified for a unit?
Every effort will be made to ensure that appropriate work locations are identified for all affected units. In the unlikely event that a suitable work location cannot be identified, the project team will work with the Director and staff within the unit to determine a temporary or interim solution.
10. How long will units have to prepare for the move?
Unit Directors will work closely with the project team to ensure that there is sufficient time to prepare for the transition. Once a work location is confirmed, units will receive advance notice and clear guidance to help support them through the next steps.
11. Will there be a period of time during the move when physical office space will not be available to staff?
While every effort will be made to minimize disruption, some business operations (e.g., shipping, room bookings, accreditation activities) may be temporarily affected during the transition period. Where possible, staff may be encouraged to book meetings virtually to reduce disruption. More detailed guidance will be provided to support interim planning as the project progresses.
Communications and Engagement
12. How will staff be involved throughout the planning process?
Hearing from staff throughout the planning process is important to help ensure a successful transition and that future work locations meet the needs of each unit. Staff will have multiple opportunities to share input, including team meetings, feedback shared with Directors, and the anonymous feedback form on MedNet.
13. How will staff be kept informed throughout the planning process?
Staff will be kept informed through regular communications from Directors, meetings, and updates to this page.
14. If I have questions that haven’t been answered yet who should I ask?
If you have questions that haven’t been addressed, please share them with your Director first. They will be meeting regularly with the project team and can communicate staff feedback and updates.

15. How is staff wellbeing being considered in this project?
The project team recognizes that changes in work location can bring uncertainty. Throughout the planning process, the project team and Directors will work together to keep staff regularly informed about key decisions and timelines. Staff wellbeing is a top priority, and we are committed to ensuring a smooth transition. We aim to provide work locations that support connection, collaboration and enable teams to do their best work.

Staff with documented workplace accommodations and/or ergonomics needs supported by a UBC ergonomics assessment will be supported with appropriate accommodations at the new work locations. 19. How does the transition affect existing virtual or hybrid working arrangements?
Virtual and hybrid work arrangements will be part of the discussion regarding how teams operate in their new work locations. This will be determined on a unit-by-unit basis and will be communicated to staff through their Director.
20. Will units have dedicated space or will they share space with other units?
Teams will be transitioning to work locations that are shared with other units. This approach aligns with the Faculty’s goal of flexibly and sustainably using work locations to their full capacity and in a way that reflects new ways of working.
21. Will there be private spaces available for confidential conversations?
Availability and number of enclosed spaces will be determined once the location is confirmed.
22. Will the workspaces be collocated?

Videoconferencing and Meeting Room Space
23. What is the latest we will be able to book meeting/conference room space at City Square?
August 31st, 2026 will be the last date staff will be able to book meeting and conference room space at City Square.
24. What types and how many videoconferencing and meeting room spaces will be available in the new work locations?
We recognize that teams will require access to a range of spaces to support their work in the new locations. Needs for collaboration, meetings, and videoconferencing are being identified and shared with the project team. The availability of videoconferencing and meeting spaces in the work locations teams are transitioning to will be confirmed during the planning process.
Shipping and Storage
25. Will new work locations have reception and a place to securely receive shipments?
This will vary by work location. Units located at the UBC-Vancouver campus will most likely have a staffed reception area, whereas reception at VGH campus locations may be more limited.
26. Will new work locations spaces have storage space dedicated to each unit?
Storage needs will vary by unit and will be considered as part of a unit’s requirements during the planning process.
27. Will new work locations have storage for personal belongings?
Some work locations may have day lockers to secure personal belongings or other storage solutions. More information will be available for staff once work locations have been confirmed.
Safety and Security
28. What safety and security measures will be in place for the new work locations?
Safety and security measures for each unit will be reviewed with UBC Safety and Risk Services and Vancouver General Hospital as work locations for each team are confirmed. More information will be available as the project progresses.
