How to process clinical teaching payments to eligible clinical faculty members.


Clinical Faculty Appointments

Accreditation standards require the Faculty of Medicine to ensure that all scheduled teachers have a faculty appointment with UBC. Clinical faculty appointments, full faculty appointments and honorary/adjunct appointments are the most commonly used types for teachers in the MD Undergraduate Program (MDUP) and Postgraduate Medical Education Program (PGME).

Payment Eligibility

The Compensation Terms govern which activities are eligible for payment. Clinical faculty are paid in accordance with the compensation terms and their personal payment arrangements as a physician. The Clinical Faculty Payment Arrangements table lists the various types of payment arrangements and the associated payment eligibility. Payment information is recorded in the Teaching Tracking and Payment System (TTPS).

MD Undergraduate Program Teaching Payments

Faculty of Medicine is using a province-wide Teaching Tracking and Payment System (TTPS) to document the teaching contributions of Clinical Faculty who teach in the MD Undergraduate Program (MDUP). TTPS is a “one-stop-shop” for MDUP Clinical Faculty teaching and payment information, which will be kept in a secure electronic repository. 

TTPS provides quarterly teaching statements for Clinical Faculty who teach in the MDUP. These statements will:

  • Detail teaching activities and payment amounts (when eligible);
  • Allow Clinical Faculty to review teaching activities and identify any inaccuracies; and
  • Provide a record of teaching contributions that can be used for reappointment, promotion and other recognition opportunities.

TTPS follows quarterly schedules for each step in the track to pay process. This TTP tracking overview helps to highlight these timelines.

Clinical Teaching Payments made through TTPS are also overseen by financial authorizers who work as second signature for approval to pay.

Postgraduate Medical Education

Teaching activities eligible for compensation include Teaching without Patient Care (also known as Didactic Teaching) and Teaching with Patient Care.

All payments for Clinical Faculty members follow the Compensation Terms for postgraduate teaching. Payments will be made at least annually, before fiscal year-end, through Departments, as for now the TTP system only tracks the teaching and payments for clinical faculty in the MDUP. The addition of full faculty and honorary/adjunct faculty is planned for inclusion in TTPS in near future.

Postgraduate teaching payments will be processed in Workday. For payment where there is no invoice, the requestor can use the Supplier Invoice Request function in Workday to provide the relevant coding, upload supporting documentation and initiate the transaction. For non-invoice transactions that are more than 25, a template for the bulk upload of multiple teaching payments will be made available and in order to improve on tracking and visibility, there will be a new Sharepoint site for requestors to submit the template.
