 Moves

The Faculty of Medicine Space Planning and Facilities Management unit oversees the allocation, utilization and management of all academic space. As part of this commitment the unit creates space plans and manages relocation projects at Faculty of Medicine sites.

Dean’s Office:

To arrange a move, submit your request to the Facilities Manager, Space Planning & Facilities Management.  Move requests must be submitted at least 4 weeks prior to the anticipated move date.

Technology Moves:

The relocation of IT equipment is managed by MedIT or IMIS.  MedIT will work with other UBC departments and partner groups to support you before, during and after your move.

Please contact the MedIT or IMIS Service Desk at least one month in advance of your scheduled move. During this period, they will investigate the parameters of your new location to ensure that they can physically connect you to the secure networks and servers that you need to do your job.

Phone Moves:

Phone moves/installations are coordinated through UBC Voice Services (Point Grey) or IMIS (hospital sites).  Contact your voice administrator to arrange for any phone related requests.

Please note that computer & phone moves may not take place on moving day with delays of up to 2 weeks depending on queues.  Please make any necessary arrangements (call forwarding, voicemail notifications, etc).


 Renovations

The Space Planning & Facilities Management unit oversee projects relating to the renovation of existing UBC Academic Space. Projects can include renovations intended to optimize space utilization, security upgrades, work required to maintain Health & Safety standards and upgrades to infrastructure (electrical, data and mechanical systems).

Procedure:

Any construction or renovation work that takes place in Academic Space requires the involvement of the Faculty of Medicine Space Planning and Facilities Management Unit to ensure compliance with applicable regulatory, Health Authority and University standards. Regulations, procedures and timelines will depend on the location, scope and magnitude of the project.

The following steps are usually included in the project planning process:

  • Definition of requirements & scope of work
  • Confirmation of funding
  • Submission of project request for approval (University / Health Authority)
  • Hiring of designer/architect (if required)
  • Assessments & reviews (as required: environmental, electrical, mechanical, data)
  • Tendering
  • Contract Administration
  • Application for building permits (if required)
  • Project Implementation
